Position Overview
We’re seeking a versatile professional to serve as the central hub of our office operations while providing critical support to our executive team and board. This role combines strategic administrative support with hands-on office management, creating a unique opportunity to impact both daily operations and high-level business functions. The ideal candidate will be our company’s ambassador to visitors, consumers, and stakeholders while ensuring seamless office functionality.
Key Responsibilities
Front Office & Guest Experience (15%)
- Serve as the welcoming first point of contact for all visitors, embodying our company values
- Manage main phone line with professional, solution-oriented approach
- Coordinate mail and package receipt/distribution
- Maintain professional reception area that reflects our brand standards
Consumer Relations (20%)
- Respond to consumer feedback via phone and email with empathy and product expertise
- Document consumer insights to inform product and marketing teams
- Maintain consumer response templates and escalation protocols
- Track feedback trends and prepare periodic summaries for leadership
Digital & Administrative Support (20%)
- Execute minor website updates (staff changes, contact information, basic content)
- Maintain digital filing systems and shared calendars
- Support internal communications as needed
- Partner with Marketing to create and distribute Influencer/VIP Sample packages and kits, and to coordinate with Order Fulfillment to ship out pallets of products when needed for events
- Partner with Sales to facilitate Sales Samples and ship out office housed marketing collateral for sales events when needed for customer meetings
- Assist with special projects and company events
Executive & Board Support (25%)
- Coordinate logistics for board meetings including materials preparation and catering
- Support executive meeting scheduling and preparation
- Arrange travel and accommodations for board members and executive visitors
- Maintain confidential board documents and correspondence
Office Operations (20%)
- Monitor and maintain office supply inventory with focus on efficiency
- Coordinate with vendors for office services and maintenance
- Maintain accurate employee directory and organizational records
- Support workplace safety and compliance initiatives
Required Qualifications
- 3+ years of experience in administrative support, preferably in consumer products or similar environment
- Exceptional verbal and written communication skills
- Proven ability to handle multiple priorities with grace under pressure
- Proficiency in Microsoft Office Suite and basic website content management systems
- Experience managing confidential information with discretion
Preferred Qualifications
- Prior Office Management experience, including managing C-suite executives
- Customer service background with consumer products knowledge
- Basic understanding of digital tools and website maintenance
- Bilingual capabilities (Spanish a plus)
